Rental Policy

These policies are provided for your platform. Have a qualified attorney review them before relying on them for compliance purposes.
1. Rental Agreement
Each rental transaction creates a direct agreement between the Owner and the Renter. By confirming a booking, both parties agree to the terms of this Rental Policy. ToolLoop facilitates the transaction but is not a party to the rental agreement.
2. Booking & Confirmation
Instant rentals: Listings marked for instant rental are confirmed when the Renter completes checkout. Payment is processed at booking; the Owner is notified that a rental is in progress.
Request-to-rent: For other listings, the Owner must accept the request within 24 hours. Renters receive confirmation via email upon acceptance, then complete payment. If the Owner does not respond in time, the request may expire.
3. Identity Requirements
Renters must complete all identity verification steps before checkout on any rental. This includes:
- Verified email address
- Government-issued photo ID verification (one-time; reviewed by ToolLoop)
Tool owners listing tools must also verify their email address. Government ID may be required before receiving payouts or for trust-and-safety review. Accounts that have not completed required verification cannot complete rental checkout.
4. Tool Condition & Documentation
Owners must:
- List tools accurately, including any existing damage or defects
- Provide current, accurate photos in the listing
- Ensure tools are clean, in safe working order, and ready for use at pickup
- Provide any relevant safety instructions or user manuals
- Set accurate available pickup times on the listing
Renters must:
- Inspect the tool at pickup and document any pre-existing damage
- Use tools only for their intended purpose
- Return tools in the same condition received (normal wear excepted)
- Clean tools before returning
5. Pickup & Return
Pickup and return logistics are arranged between Owner and Renter using the pickup windows shown on the listing and the in-app messaging system. If the Renter fails to pick up a tool within 2 hours of the agreed pickup time without prior notice, the Owner may cancel the booking and the Renter may be subject to a cancellation fee per our Cancellation & Refund Policy.
6. Late Returns
If a Renter returns a tool late without prior agreement from the Owner, additional charges may apply at a rate of 1.5× the daily rate per additional day. Owners should report late returns through the Platform within 24 hours of the expected return time.
7. Damage, Loss & Theft
The Renter is responsible for the full replacement or repair cost of any tool that is:
- Damaged during the rental period (beyond normal wear and tear)
- Lost or stolen while in the Renter's possession
- Returned with missing components or accessories
Damage claims must be filed through the Platform within 48 hours of tool return. We will attempt to facilitate resolution between parties. If unresolved, disputes will be escalated to our resolution team.
8. Insurance
ToolLoop does not currently provide insurance coverage for rental transactions. Both Owners and Renters are advised to check with their homeowners, renters, or business insurance providers regarding coverage for peer-to-peer rentals.
9. Owner Responsibilities
- Ensure all listed tools are legal to own and operate in your jurisdiction
- Maintain tools in safe, working condition
- Honor confirmed bookings; repeated cancellations may result in account penalties
- Respond to Renter messages within a reasonable timeframe
10. Off-Platform Transactions
Attempting to arrange payments or transactions outside of the Platform is a violation of our Terms & Conditions and may result in account suspension. Off-platform transactions are not covered by any Platform protections or dispute resolution services.
11. Reviews
After each completed rental, both Owner and Renter may leave a review. Reviews must be honest, accurate, and based on the actual rental experience. Fake, coerced, or retaliatory reviews are prohibited and may be removed.
